The records department orders records from various sources, follows up on requests, and reviews all records that come in. Depending on the task, the job requires comfortability on the phone, ability to notate in a database, and ability to work independently on reading tasks.

Maintains provider contact information in Abacus legal software
Documents received records in Abacus
Responsible for submitting new records requests for clients who are done treating (or when treatment with a specific provider ends) and initial emergency room records
Prioritizing tasks for when urgent records requests come through
Manages prepay notices
Checking in/confirming records
Follow up on previously requested records
Daily filing and mail collection

Release and Disbursement Specialist: It is the job of the closing department to obtain the necessary documents, re-verifies and re-reconciles all bills and insurance payments, and finally disburses settlement monies to the appropriate parties.

Ability to communicate with clients, insurance adjusters, and attorneys via phone, email, and traditional written correspondence; verifying liens and outstanding balances to update clients on the status of their files.

Familiarity with Word, Excel, and Outlook: able to draft letters and emails, perform basic to intermediate calculations using Excel formulas, schedule appointments with clients to obtain signatures on settlement documents and check.

Experience with successfully negotiating reductions on insurance liens and outstanding balances, increasing company profits and net recovery for client settlements.

Familiarity with personal injury law and ability to accurately verify related documents to properly close settled case files.

Familiarity with PIP subrogation and reimbursement, UIM settlements including Mahler, Matsyuk, and Winters Fees calculations.

Knowledge of various health insurance plans, including ERISA. Familiarity with health insurance subrogation, waivers, and reimbursements.

Knowledge of Medicare/Medicaid rules and regulations with regards to personal injury claims.

Pre-Litigation Case Manager: Case managers handle cases from the time of opening until the client is done treating. They handle all correspondence regarding the accident with insurance companies and other involved parties, negotiate property damage, and communicate with their clients on a monthly basis. A successful case manager can handle distractions, has empathetic customer service, and be able to multi talk efficiently and in an organized manner.

Job duties include but are not limited to:

Act as backup to Reception and Opening Assistant when necessary

Primary Client contact from inception through done treating phase

Educate/Inform clients of PD process and case phases

Assist with Property Damage when necessary

Monthly contact with all clients

Handles calls from 1st party, 3rd party, and clients

Identify, address, and escalate issues as they arise

Requesting and reading ledgers and identifying when new treatments occur

Operate a multi-line phone system
Check and transfer voicemails
Distribute Mail and Faxes as they come in
Ensure copy rooms, conference rooms, and bathrooms are tidy and stocked
Manage supply inventory
Prepare conference rooms as necessary
Light janitorial throughout the day
Greet and assist all visitors to the firm
Starts new client binders
